This notice covers the information you send us through this website. It does not cover the records we keep about people we support, which are governed by our care records policy and explained to you directly.
Who is responsible for your information

What this website collects
This website collects information only when you choose to send it using one of our forms. It does not track you, and it does not collect anything in the background.
- Referral forms
- Your name, job title, organisation, local authority, email and telephone. About the young person: first name or initials only, age, gender, legal status, a summary of needs, risks and behaviours, current placement, education arrangement and funding authority. We deliberately do not ask for a full name.
- Enquiry forms
- Your name, your relationship to the person, telephone, email, postcode where relevant, and what you have told us about the support you are looking for. This can include information about disability, health and care history.
- Job applications
- Your name, contact details, location, the role applied for, availability, driving licence status, right to work, experience, qualifications and, if you send one, your CV.
- Technical information
- Your browser user agent, and a one way hash of your IP address combined with a secret salt. The hash is used only to rate limit form submissions. We never store your actual IP address and the hash cannot be reversed to recover it.
Why we can lawfully hold it
- Referrals and enquiries
- Our lawful basis is legitimate interests, namely responding to a request to arrange care, and where the information concerns health or disability we rely on the provision of health or social care under Article 9(2)(h) of the UK GDPR.
- Job applications
- Our lawful basis is taking steps at your request before entering into a contract of employment, and our legal obligations around safer recruitment.
- Rate limiting
- Our lawful basis is legitimate interests, namely keeping the service available and preventing abuse.
Who can see it
Referral information is sent to the registered managers who assess referrals, and to nobody else. We keep that recipient list deliberately short, and referral notifications go to a separate address from general enquiries for that reason.
We do not sell your information, we do not share it for marketing, and we do not transfer it outside the organisation except where we are required to by law, or where sharing with a placing local authority or a safeguarding team is necessary to arrange or safeguard care.
Where it is stored
Form submissions are stored in a Supabase database and notifications are sent using Resend. This website is hosted on Cloudflare Pages. Each of these is a processor acting on our instructions under a written agreement.
Access to the database is restricted to a service role key that is held only on the server and never reaches your browser.
How long we keep it
These periods are reviewed annually. If you want your information deleted sooner, ask and we will do it unless a legal duty requires us to keep it.
- Referrals that do not proceed
- Deleted 12 months after our final contact about them, kept that long in case the referral returns.
- Referrals that become placements
- Moved into the care record, which is governed by our records policy and the placing authority's requirements rather than by this website.
- Family and general enquiries
- Deleted 12 months after our final contact.
- Unsuccessful job applications
- Deleted 6 months after the decision, including any uploaded CV.
Your rights
You have the right to ask for a copy of the information we hold about you, to have it corrected, to ask us to delete it, to object to how we are using it, and to ask us to restrict its use.
To exercise any of these, ring 07904 385455 and ask for the registered manager, or write to us at the address above. We will respond within one month.
If you are unhappy with how we have handled your information, you can complain to the Information Commissioner at ico.org.uk or on 0303 123 1113.
